Welcome to Inspekta ("App," "we," "us," or "our"), a field service reporting application developed and operated by Sladman Ventures Ltd. ("Company"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our mobile application and related services.

  • Company Information: Company name and company identifier (provided by your administrator)

  • Report Data: Client names, job numbers, dates, equipment details, inspection notes, recommendations, and work completed checklists
  • Photographs: Images captured through the App's camera feature or selected from your device's photo library
  • Voice Recordings: Audio recordings when using the voice input feature (processed for transcription only)

2.3 Automatically Collected Information

When you use the App, we may automatically collect:

  • Device Information: Device type, operating system version, unique device identifiers, and app version
  • Usage Data: Features accessed, actions taken within the App, and timestamps
  • Error and Crash Data: Technical information about app crashes and errors to help us improve the App

2.4 Information from Third Parties

Your company administrator may provide us with your email address and company assignment when setting up your account.

3. How We Use Your Information

We use the information we collect for the following purposes:

  • Enabling you to create, edit, and manage field service reports
  • Storing and syncing your profile information
  • Generating PDF and DOCX reports

4.1 Local Storage

  • Reports and photos are stored locally on your device

5. Voice Input and Transcription

5.1 On-Device Processing

When you enable the voice input feature on mobile devices, an AI speech recognition model is downloaded to your device. When offline, voice recordings are processed locally on your device and are not transmitted to external servers.

5.2 Server-Based Transcription

When connected to the internet, voice recordings may be transmitted to our servers for transcription. This includes on mobile devices (when online) and web browsers. These recordings are:

  • Used solely for converting speech to text
  • Not stored after transcription is complete
  • Processed securely and not used for any other purpose

5.3 AI-Assisted Text Rewriting

When you use the AI rewrite feature to improve your notes and observations, your text may be sent to our servers for processing. This feature is designed to enhance the quality and professionalism of your reports. Similar to server-based transcription:

  • Text is used solely for generating improved content
  • Not stored after processing is complete
  • Processed securely and not used for any other purpose

6. Photo Handling

6.1 Photo Storage

Photos taken or selected within the App are:

  • Stored locally on your device within the App's secure storage
  • Embedded in reports when you export or generate documents
  • Not automatically uploaded to cloud servers

6.2 Backup Photos

If you enable the "Save Backup Photos" option in Settings, copies of photos taken within the App are saved to your device's photo library. This is entirely optional and under your control.

7. Data Sharing and Disclosure

We do not sell, trade, or rent your personal information to third parties. We may share your information only in the following circumstances:

7.1 Service Providers

We work with trusted third-party service providers who assist us in operating the App, including:

  • Cloud infrastructure and database providers for secure data hosting and storage
  • Authentication service providers for user account management and security
  • Error monitoring services for app stability and crash reporting (device information and error logs only; no personal data is shared)

7.2 Company Administrators

If you use the App through a company account, your company administrator may have access to certain account information (such as your name, email, and job title) for user management purposes.

7.3 Legal Requirements

We may disclose your information if required to do so by law or in response to valid requests by public authorities (e.g., court orders, government requests).

7.4 Business Transfers

In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will provide notice before your information becomes subject to a different privacy policy.

8. Data Retention

8.1 Local Data

Reports and photos stored locally on your device remain until you delete them or uninstall the App. You have full control over this data.

8.2 Account Data

We retain your account and profile information for as long as your account is active. If you or your company administrator requests account deletion, we will delete or anonymize your personal information within 30 days, except where we are required to retain it for legal purposes.

8.3 Support and Feedback Data

Feedback submissions and support requests are retained for up to 2 years to help us improve the App and resolve recurring issues.

9. Your Rights and Choices

Depending on your location, you may have certain rights regarding your personal information:

You can access your profile information directly in the App through Settings. You can export your reports at any time using the App's export feature.

9.2 Correction

You can update your profile information (name, job title, phone number) directly in the App through Settings > Edit Profile.

10. Children's Privacy

The App is not intended for use by individuals under the age of 16. We do not knowingly collect personal information from children under 16. If we become aware that we have collected personal information from a child under 16, we will take steps to delete such information promptly.

11. International Data Transfers

Your information may be transferred to and processed in countries other than your country of residence. These countries may have different data protection laws. When we transfer your information, we ensure appropriate safeguards are in place to protect your personal information in accordance with this Privacy Policy.
